Scope

SaaS Backend System

Year

2024

The client's goal was to develop an integrated SaaS system that could streamline fragmented workflows, improve real-time communication between teams, and bring clarity to daily operations. Mil Manos, a food-focused business, was struggling with an outdated backend where essential features were buried in confusing menus, and communication between admin and kitchen staff was inefficient.

This project aimed to design a centralized, intuitive platform that surfaces key data, enhances coordination, and supports day-to-day operations- all through a thoughtful, scalable UX foundation.

Overview

This project introduces an integrated SaaS system that streamlines admin and kitchen workflows, enhances communication, and supports daily operations.

A glance at key financial insights, kitchen performance metrics, and operational analytics- designed to support real-time, data-driven decisions

Admin dashboard view for managing employee profiles, roles, and permissions- centralizing control and streamlining internal workflows

Challenge

Mil Manos lacked an organized SaaS backend, resulting in fragmented workflows and essential features hidden within outdated menus. Communication between admins and kitchen staff was inefficient, leading to uncertainty and operational confusion.

The team needed a centralized solution that could streamline processes, surface key data clearly, and foster seamless communication through a cohesive, intuitive design.

Admin Dashboard View: A closer look at how admins manage financials, monitor kitchen performance, and oversee employee operations- all in one intuitive interface

Kitchen Dashboard View: Displays all incoming, past, pending, and delivered orders, each organized by unique order ID. Includes a real-time chat with admin to ensure seamless communication and task clarity

Approach

I conducted user research with both admins and kitchen employees to identify friction points across daily workflows. This led to the need for a centralized, real-time system that could align operations across departments. As the Product Designer, I led the UX strategy, created detailed user flows, and designed a scalable SaaS management system in Figma. I developed wireframes and high-fidelity prototypes that informed cross-functional discussions and supported seamless backend integration to meet the business’s operational and communication needs.

Results

By taking a holistic approach, I identified key features that significantly improved operational efficiency. The integrated system streamlines admin and kitchen workflows, enhances real-time communication, and supports smoother daily operations.

The result is a well-structured system that boosts control, coordination, and overall business performance through thoughtful UX and strategic design.

Approach

I conducted UX research with both the backend team and store staff to uncover operational inefficiencies and identify pain points. These insights were cross-referenced with user interviews conducted with customers, revealing shared frustrations. The overlap made it clear: the solution needed to support internal workflows while enhancing the customer experience.

At the same time, I focused on preserving BonBon’s distinctive brand presence- elevating its aesthetic while staying true to the tactile, curated experience of shopping in-store. The design reflects the visual richness and character of the brand while introducing structure and simplicity for a seamless mobile journey.
